Position Summary

City Architecture is looking for an organized, personable, and proactive Operations Coordinator to join our team. This role is vital to positively impacting communities by embodying our firm's core values: Connect, Champion, Endure, and Lead by Design. The Operations Coordinator will deliver top-tier customer service while coordinating and supporting our administrative functions. This in-person position serves as a central point of coordination between staff, clients, consultants, and project partners.

City Architecture has developed a series of guidelines and processes for which the Operational Coordinator will be charged with implementing; responsibilities including activating daily operational procedures and providing essential support in the construction administration process, including site visits to construction sites, creating field reports, and actively participating in Owner, Architect, and Contractor meetings. This position offers great exposure to architectural practice, construction processes and firm operations in a collaborative studio environment creating rewarding projects and experiences.

Essential Duties & Responsibilities

Office Administration

  • Serve as a first point of contact while representing City Architecture and our unwavering commitment to hospitality.

  • Implement and maintain office workflow procedures and provide feedback on improvements to operations.

  • Handle day-to-day tasks including answering phones, greeting visitors, maintaining an organized filing system, scheduling meetings, and provide administrative support on various projects and studio needs.

 Construction Observation Phase Services

  • Support architects throughout the construction phase by organizing, preparing, tracking, and disseminating project-related documents efficiently.

  • Review contractor submittals and other project-related documents throughout various phases of projects.

  • Assist in holding project partners and staff accountable for the processing of documents and information.

  • Conduct site visits to active construction locations, as needed (punch lists, review quality of construction finishes and progress meetings, etc.), to assist in the creation of field reports and meeting documentation.

 Qualifications

  • Effective communication and interpersonal skills, with a strong ability to build relationships and grow with the firm.

  • Professional and unapologetic follow-up skills to ensure progression of processes and information as part of Construction Observation.

  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks.

  • Professional and reliable, exhibiting patience and a collaborative spirit.

  • Experience in A/E/C firms is preferred (but not required) – notably industry-specific knowledge, understanding of project phases, document management/processes to meet compliance requirements, and gratification in working in a collaborative work environment.

  • Associate's/College degree; a degree in business administration or construction management is a plus but not required.

  • Knowledge of basic bookkeeping principles, office management systems, and procedures.

  • Proficiency in MS Office and Adobe Suite, with a capacity to learn new software quickly.

Compensation

Expected salary range is between $40,000 and $50,000, commensurate with experience. Benefits include health insurance, 401K, paid holidays, vacation, and sick time.

CO-OP

We are always looking for Co-Op students to add to our team for a semester. We hire students at all levels with strong portfolios and a desire to grow professionally.

Students working for our firm will have the opportunity to work on a number of different projects that may range from urban design for neighborhoods to streetscape designs to an array of interesting architectural projects. Students will be challenged and supported with work that focuses on revitalizing urban communities and cores. Historic preservation, adaptive reuse, new construction and urban design (at a wide variety of scales) will keep you busy and engaged. Our studio environment, combined with our collaborative approach, provides everyone a voice in our firm’s design process. You will be involved in all aspects of design, production and interaction as we work to ensure a well-rounded co-op experience for all students. We are a fast-paced organization and you will work on most stages of project development across various project types.

Experience with AutoCAD, Revit, SketchUp and Adobe Creative Suite is preferred.
